Development Coordinator
Position Summary
The Development Coordinator supports the mission of Kosair for Kids by ensuring the accuracy, efficiency, and integrity of all fundraising data and donor stewardship processes. This position is responsible for processing and acknowledging gifts, maintaining donor records, assisting with fundraising operations, providing essential administrative and event support to the Development team, and greeting donors and visitors. The role helps ensure that every donor interaction is accurate, timely, and meaningful.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential functions include, but are not limited to, the following:
Gift Entry and Donor Acknowledgment
- Enter all gifts into applicable software in accordance with gift record policies and procedures.
- Process all recurring donations and maintain recurring credit card information.
- Post daily gift batches and create, generate, and disburse daily gift reports to ensure gift entry accuracy.
- Create, generate, and disburse daily gift reports.
- Maintain scanned gift and supporting documentation files for recordkeeping purposes.
- Track and process tribute gifts, ensuring proper donor recognition and family acknowledgment.
- Manage gift acknowledgment process by assigning appropriate donor letter codes, acquire new and refreshed letters from appropriate staff, prepare acknowledgment letters for signature, and ensure prompt mailing.
- Record, code, and acknowledge all in-kind gifts.
- Maintain accurate donor and gift records, ensuring data integrity, confidentiality, and compliance with organizational policies.
- Serve as point of contact for incoming gift processing inquiries.
Development Operations and Data Management
- Develop and maintain queries, exports, and ad-hoc reports to support fundraising and stewardship efforts.
- Maintain constituent records by researching and updating contact information, relationships, organizational information, and giving history.
- Qualify and code donors for all society giving clubs.
- Manage duplicate management and data clean-up efforts.
- Manage deceased records by monitoring local obituaries, researching system-identified deceased constituents, and updating RE NXT accordingly.
- Support the implementation of data-driven fundraising strategies and ensure consistency in data entry and coding standards.
Fundraising, Event, and Organizational Support
- Support donor stewardship efforts by helping to prepare personalized thank-you and society welcome packets, preparing birthday card lists, coordinating sympathy and funeral home mailings, and assisting with action entry for fundraising and event staff.
- Support event operations by working registration at all Kosair for Kids events, managing guest lists, updating attendee information in software, and handling event registration calls.
- Maintain and monitor development office supplies.
- Share front desk responsibilities by answering the main phone line and greeting visitors.
- Manage copier room area and storage room by ensuring areas remain uncluttered and stocked with supplies.
- Provide a welcoming, professional first impression for all guests and callers.
Other Duties
- Participate in departmental meetings and planning sessions.
- Work closely with the Senior Director of Advancement Services on large data projects.
- Assist with special projects and other tasks as assigned to advance the mission of Kosair for Kids.
MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)
- Two or more years of experience in a nonprofit setting preferred.
- Experience with Raiser’s Edge/RE NXT or other nonprofit CRM systems preferred.
- Demonstrate proficiency in Microsoft Office products.
- Ability to work well in a fast-paced environment where technology is constantly changing.
- Exhibit strong attention to detail, organizational skills, and ability to manage multiple tasks.
- Excellent written and verbal communication skills.
- Show commitment to the mission and values of Kosair for Kids.
- Position reports on-site, Monday through Friday (no remote work).
- Occasionally work outside of regular business hours, including early mornings, evenings, or weekends, to support Kosair for Kids events.

- Regular and consistent use of keyboard and mouse is necessary.

- Ability to work overtime as required.
